Receptionist guide

Use the receptionist guide to help patients book, update details, complete requirements, and receive clear clinic communications.

Role: Receptionist · you manage the front desk — diary, scheduling, leads, and patient contact. You do not access clinical cases, prescriptions, or finance.


Your daily surfaces

Diary (/practice/appointments)

  • View and manage all appointments for all clinicians.
  • Book new slots by clicking a free slot in the diary grid.
  • Drag to reschedule. Cancel from the appointment detail.
  • Add patients to the Waitlist if their preferred slot is full.

Scheduling (/practice/scheduling)

  • Resources — manage rooms and equipment available for booking.
  • Time off — block clinician time (annual leave, training).
  • Waitlist — review and offer slots to waiting patients.

Leads (/practice/leads)

  • Monitor incoming enquiries from your public funnel.
  • Check eligibility and progress qualified leads toward booking.
  • The Pipeline view shows where each lead is in the journey.

What you cannot do

  • Access clinical case content, prescriptions, or test results.
  • Issue or view prescriptions.
  • Access financial data or payment history.
  • Change staff roles or practice settings.

Common tasks

Booking a returning patient:

  1. Appointments → New appointment → search patient by name/email.
  2. Pick clinician, date, appointment type → Confirm.

Handling a cancellation:

  1. Click the appointment → Cancel → enter reason.
  2. Offer the freed slot to anyone on the waitlist.

Adding a patient to the waitlist: Scheduling → Waitlist → Add patient → select service and preferred time window.
