Uploading photos via WhatsApp

Use your clinic’s WhatsApp request to send supported evidence, then check that the document appears in your patient case.

If portal upload is awkward (slow connection, no laptop, prefer phone), you can send photos directly to the clinic's WhatsApp number. They attach automatically to your case if everything matches up.

How it works

  1. Send the photo to the clinic's WhatsApp Business number from the same phone number on your patient record.
  2. The system matches you by phone number and looks for a pending requirement of the right kind (BMI photo, ID, or "more info" attachment).
  3. If a matching pending requirement is found, the photo attaches to it automatically — same as if you'd uploaded via the portal.
  4. If no matching requirement is found, the photo is logged for the clinic to chase up manually.

What to write in the message

Just send the photo. You can add a one-line caption like "BMI photo" or "photo ID" but the system primarily routes by your phone number + which requirement is pending.

If you have multiple things pending, send each photo as a separate message so we attach them to the right requirement.

What if my phone number on record is wrong?

Phone-based routing only works if your record has the right number. Sign in to the portal → Account → check the phone number under your details. Update it before sending photos via WhatsApp.

Channels that work

  • Text replies to clinic templates (approve, decline, more info messages)
  • Photos sent inline (BMI, ID, follow-up photos)
  • Documents — yes, you can send PDF of consent if needed (rare — easier in the portal)

Channels that don't work

  • Video files (we don't process video; send a still photo)
  • Voice notes (we don't transcribe; type instead)

Privacy

WhatsApp media is downloaded into the clinic's secure storage and the original WhatsApp message metadata is purged after the attachment is bound to your record. The clinic sees only the photo, your name, and the timestamp.
